Privacy Policy
Effective 27 October 2026
The short version
- Your stories and recordings belong to you. We use them only to make your book and run the app.
- We never sell your information or use your stories for advertising.
- We use trusted AI services to transcribe your recordings and help write your chapters. They process your stories on our behalf, and you approve every chapter.
- Your data is stored in Sydney, Australia. Some AI processing happens overseas, mainly in the United States.
- You can delete your account and everything in it from inside the app, at any time.
Legacy365 is run by Noble Ventures 100 Pty Ltd, a Queensland company ("we", "us"). This policy explains how we handle personal information in the Legacy365 app and on legacy365.com.au. We aim to follow the Australian Privacy Principles in the Privacy Act 1988 (Cth).
1. What we collect
| Information | Why we collect it |
|---|---|
| Account details: name, email address, password (stored securely, never readable by us), time zone and reminder settings | To create your account, sign you in, and send the reminders you choose |
| Your stories: voice recordings, transcripts, the text you approve, photos you add, and the people and places you mention | To ask helpful follow-up questions and create your book, audio and listening pages |
| Order and gift details: what you bought, gift codes, the recipient's first name, gift messages, and a delivery address for printed books | To provide what you paid for and deliver printed books |

Sensitive information
Life stories often include sensitive details, such as health, religion, family relationships or difficult events, about you and about other people. By recording and saving an answer, you agree to us handling that information to create your book. Only share what you're comfortable keeping in a family book, and take care when talking about other living people.
2. How we use it
- To transcribe your recordings, tidy the transcripts, suggest follow-up questions, and draft chapters for you to review and approve.
- To design and produce your digital book, audio files, printed book and QR listening pages.
- To send you reminders, receipts, and important messages about your account or order.
- If you opted in when redeeming a gift, to let the person who gave it to you know when you finish a chapter. We never share your stories with them, only that a chapter is done.
- To provide support, prevent fraud and misuse, and meet our legal obligations.
We do not sell your personal information, and we do not use your stories or recordings for advertising or to train AI models.
3. AI services
Legacy365 uses AI to turn your spoken answers into writing. Your recordings and transcripts are sent to these providers only to do that work:
- OpenAI: transcribes your recordings and helps prepare and write chapter drafts.
- Anthropic (Claude): writes follow-up questions and helps write chapter drafts.
These providers process your information on our instructions. Under their API terms, they don't use it to train their models. AI can make mistakes, which is why you review and approve every chapter before it goes into your book.
4. Who we share it with
We only share personal information with service providers who help us run Legacy365, and only what they need:
| Provider | What they do | Where |
|---|---|---|
| Supabase | Stores accounts, recordings, photos, transcripts and books | Sydney, Australia |
| OpenAI | Transcription and writing assistance | Mainly United States |
| Anthropic | Follow-up questions and writing assistance | Mainly United States |
| Stripe, Apple, Google | Payments | Australia and overseas |
| Netlify | Hosts our website and listening pages | Global network |
| Email provider | Sends account and order emails | Mainly United States |
| Printing and delivery partners | Print and deliver hardcover books | Australia or overseas |
Where information goes overseas, we take reasonable steps to make sure these providers protect it in a way that's consistent with Australian privacy law. We may also share information if the law requires it, or to protect someone's safety.
5. QR listening pages
Each chapter of a finished book can have a QR code that plays the recordings in that chapter. Anyone who has the book, or the link, can listen. These pages aren't listed publicly or in search engines, but please treat a book's QR codes like a private photo album and share them only with people you trust.
6. Keeping it safe
Your information is encrypted in transit and stored in access-controlled databases and storage. Each person can only see their own stories in the app. No system is perfectly secure, so please keep your password private. If a data breach is likely to cause serious harm, we'll tell you and the Office of the Australian Information Commissioner as required by law.
7. How long we keep it
- We keep your stories, recordings and books for as long as your account is open, so your family can keep listening.
- If you delete your account, we delete your profile, recordings, photos, transcripts and book files. Copies may remain in secure backups for a short time before they're overwritten. Once your book files are deleted, its QR codes will stop playing.
- We keep order and payment records for as long as tax and accounting laws require, usually 5 to 7 years.
- Waitlist details are kept until launch and for marketing afterwards, unless you unsubscribe.
8. Your choices and rights
- Access and correct: view and edit your stories in the app, or ask us for a copy of the personal information we hold about you.
- Delete: delete your account in the app's settings, or email us and we'll do it for you.
- Emails: unsubscribe from marketing emails at any time using the link in the email.
- Reminders: change or switch off reminders in the app.
9. Children
Legacy365 is designed for adults. You must be 18 or over to create an account. If you think a child has given us personal information, contact us and we'll delete it.
10. Contact and complaints
For any privacy question, request or complaint, email hello@legacy365.com.au. We'll respond within 30 days. If you're not happy with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
11. Changes
If we make important changes to this policy, we'll update the date above and let you know in the app or by email.
